This Privacy Policy explains how Personal Information is collected, used, stored, shared and protected through the FULI Webapp ("the Webapp"). By using the Webapp, the Principal and the User consent to the practices described in this Privacy Policy, in accordance with POPIA and other applicable laws.
1.1 Account information: When the Administrator creates a User’s account on the instruction and authorization of their Principal, the User’s name, email address and mobile number is supplied by the Principal to FULI.
1.2 Search inputs: When a User performs searches, inputs such as Vehicle Identification Numbers (VINs), owner ID, vehicle registration numbers, vehicle makes and user-selected Make, Model, and Year are collected.
1.3 Search logs: All search attempts (successful, partial or unsuccessful) are logged, including the User ID, Principal identity, timestamps, search inputs and Data source success.
1.4 Usage Data: Data on the User’s interactions with the Webapp, such as pages visited, features used and disclaimer pop-up interactions, are collected.
1.5 Technical Data: Device and browser information, IP addresses, and session Data are collected to ensure Webapp functionality and security.
2.1 Service delivery: To process searches, retrieve vehicle Data (e.g. vehicle description, collision history, service and maintenance history, warranty information) and display results.
2.2 Billing and tracking: To track search usage for billing purposes, attributing charges to the Principal on each of its Users’ accounts and to generate audit trails.
2.3 Administrative exports: To store and export new VIN entries (VIN, ID, registration number, vehicle make, model, year) for administrative purposes.
2.4 Security and compliance: To authenticate Users, enforce Webapp access controls and ensure compliance with legal obligations.
2.5 Improvement and analytics: To analyze usage patterns and improve the Webapp’s functionality and user experience.
2.6 Disclaimer display: To trigger a disclaimer pop-up after the User’s first search attempt, ensuring the User is informed of terms and Data accuracy limitations.
3.2 Principal billing: The User’s search logs and billing details are shared with the their Principal for invoicing purposes.
3.3 Service providers: Data may be shared with trusted service providers who assist in operating the Webapp, subject to strict confidentiality agreements.
3.4 Legal obligations: The User’s Personal Information may be disclosed if required by law, court order or regulatory authority to comply with legal obligations or to protect rights.
4.2 Security measures: Reasonable technical and organisational measures are implemented to protect a User’s Data from unauthorized access, loss or misuse. However, no system is completely secure and the User shares their Personal Information at their own risk.
4.3 Data retention: Account information and search logs are retained for billing, auditing and compliance purposes, even after account termination and as permitted by law.
5.1 Access: Request access to your Personal Information held by FULI.
5.2 Correction: Request correction of inaccurate or incomplete Personal Information.
5.3 Deletion: Request deletion of your account and associated Personal Information, subject to administrative and legal retention requirements.
5.4 Objection: Object to the processing of your Personal information for specific purposes, where applicable.
5.5 Restriction: Request restriction of Personal Information processing in certain circumstances. To exercise these rights, the User must contact the Administrator. Responses will be provided within a reasonable timeframe, as required by law.
7.2 Analytics: Anonymized analytics are used to monitor Webapp performance and usage trends, which does not identify individual Users.
9.2 By using the FULI Webapp, the User acknowledges that they have read, understood and agree to be bound by these Terms and Conditions and this Privacy Policy.

3. How Personal Information Is shared
3.1 Third-Party sources: Search inputs are shared with third-party sources to retrieve vehicle Data. These sources have their own privacy policies and responsibility for their Data practices is not assumed.3.2 Principal billing: The User’s search logs and billing details are shared with the their Principal for invoicing purposes.
3.3 Service providers: Data may be shared with trusted service providers who assist in operating the Webapp, subject to strict confidentiality agreements.
3.4 Legal obligations: The User’s Personal Information may be disclosed if required by law, court order or regulatory authority to comply with legal obligations or to protect rights.
4. Data storage and security
4.1 Storage: Personal information and search logs are stored securely for as long as necessary for the purposes outlined in this Privacy Policy or as required by law. New VIN entries may be retained for administrative export.4.2 Security measures: Reasonable technical and organisational measures are implemented to protect a User’s Data from unauthorized access, loss or misuse. However, no system is completely secure and the User shares their Personal Information at their own risk.

5. The User’s rights

6. Third-Party sources
The Webapp retrieves vehicle Data from third-party sources. These sources may have their own Data collection and processing practices, governed by their respective privacy policies. Responsibility for the accuracy, security or handling of personal Information by these third parties is not assumed. The User acknowledges that personal Information retrieved from these sources may be incomplete, outdated or inaccurate.7. Cookies and tracking technologies
7.1 Cookies: Cookies and similar technologies may be used to enhance the User’s experience, track usage and maintain session integrity. 8. International Personal Information transfers
If the User access the Webapp from outside South Africa, the User’s Data may be transferred to and processed in South Africa or other jurisdictions where servers or third-party providers are located. Such transfers comply with POPIA and other applicable Data protection laws.9. Updates to this Privacy Policy
9.1 This Privacy Policy may be updated to reflect changes in practices or legal requirements. Updated versions will be posted on the Webapp with an effective date. Continued use of the Webapp after changes constitutes acceptance of the revised Privacy Policy.9.2 By using the FULI Webapp, the User acknowledges that they have read, understood and agree to be bound by these Terms and Conditions and this Privacy Policy.
